VMI is part of the Coperion group. As such, VMI follows Coperion data protection principles and apply its group-wide data policy.
VMI takes the protection of your data very seriously. We undertake to treat all personal data collected by us confidentially and to comply with the applicable data protection laws. In this privacy policy, we inform you about what data we collect, for what purpose, how we process it and what rights you have in relation to your data.
Important Changes
Since the acquisition of the brands Baker Perkins, Bakon, Diosna, Gabler Engineering, Kemutec, Peerless, Raymond Bartlett Snow, Shaffer, Shick Esteve, Unifiller Systems, and VMI as well as Herbold Meckesheim, Coperion has endeavored to create a uniform database. Data Processing Activities
Website Visit (Server Log Files)
Purpose and legal basis: When you visit our website, general information is automatically collected, even if you do not register or provide us with data in any other way. This data is stored automatically and transmitted to us in the form of server log files. This includes browser type and browser version, the operating system used, referrer URL, host name of the accessing computer, time of the server request and the IP address. Data processing is carried out in accordance with Art. 6 para. 1 lit. f GDPR on the basis of our legitimate interest in improving the stability and functionality of our website.
The provision of the aforementioned personal data is neither legally nor contractually required. However, without the IP address, the service and functionality of our website cannot be guaranteed.
Recipients & Third country transfer: We use technical service providers for the operation and maintenance of our website who act as our processors. All service providers are contractually obliged to treat your data confidentially. The data collected may be transferred to our country organization in the USA. Standard contractual clauses are in place as a data protection guarantee.
Storage period: The data is deleted as soon as it is no longer required for the purpose for which it was collected. For data used to provide the website, this is generally the case when the respective session has ended.
If the data is stored in log files, this is the case after 14 days at the latest. Storage beyond this period is possible. In this case, the IP addresses of the users are anonymized so that it is no longer possible to identify the accessing client.

Purpose and Legal Basis:
Our website uses a cookie consent management tool developed by the web agency Addictic, based in France. This module ensures our website’s compliance with applicable data protection regulations, including the General Data Protection Regulation (GDPR) and the French Data Protection Act (Loi Informatique et Libertés). The system allows us to inform users, collect their prior consent for the placement of non-essential cookies, and record their preferences in a documented manner. The processing is based on Article 6(1)(c) of the GDPR (compliance with a legal obligation) and, for certain specific cases, on Article 6(1)(a) (explicit consent).
Recipients and Transfers to Third Countries:
The consent management software is hosted on servers located in Europe. No personal data is transmitted to third parties outside of the European Union via this module. The agency Addictic, as a technical service provider, acts as a data processor and is contractually committed to ensuring the confidentiality and security of the data processed.
Retention Period:
Consent choices (acceptance or refusal) are stored for a maximum period of 6 months, in line with CNIL (French Data Protection Authority) recommendations. After this period, a new consent request will be presented to you.
Profiling:
The consent management module does not perform any profiling activities. It is strictly limited to the recording and technical management of your cookie preferences.
Revocation:
You can change your preferences at any time by clicking on the “Cookies” icon available on all pages of the website, or by visiting the “Cookies” page accessible from the footer. From this page, you can access the “Cookie Settings” option and freely manage your choices.

This website uses Matomo, an open-source software for statistical analysis of visitor access. The provider of the Matomo software is InnoCraft Ltd., 150 Willis St, 6011 Wellington, New Zealand. Matomo uses cookies that allow analysis of your use of the website. The information generated by the cookie regarding your use of the website is stored on a server in Germany. We have configured Matomo in such a way that no profiling occurs. The IP address is anonymized immediately after processing and before being stored by shortening the last two octets. The transfer of your information to New Zealand is covered by an adequacy decision from the European Commission under Article 45 of the GDPR. A data processing agreement in accordance with Article 28 of the GDPR has been concluded with Matomo.
Retention Period:
The data will be deleted as soon as it is no longer necessary for our record-keeping purposes. In our case, this happens automatically after 6 months.
Revocation:
You are neither legally nor contractually obliged to allow us to use your anonymized data for web analytics purposes. However, without providing your data, we cannot further optimize and improve our services.
Embedded YouTube Videos
Purpose and Legal Basis:
Our website may embed videos from the YouTube platform, operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. The integration of these videos aims to enrich our content and improve the user experience. When a video is displayed, personal data such as the IP address, device used, date and time of the visit, and the URL of the page viewed may be transmitted to YouTube. In accordance with Article 6, paragraph 1, point a of the GDPR, these contents are only loaded with your prior explicit consent, collected via our cookie management module.
Recipients and Transfers to Third Countries:
Viewing an embedded YouTube video may result in data being transferred to the United States. YouTube (Google LLC) is certified under the Data Privacy Framework, ensuring an adequate level of data protection. However, this transfer only takes place after the user voluntarily activates the content based on their consent.
Retention Period:
Cookies that may be placed by YouTube after the video is activated (such as YSC or VISITOR_INFO1_LIVE) can have a retention period of up to 24 months. The exact durations can be found in the Cookies section.
Profiling:
YouTube may associate your viewing activity with your Google account if you are logged in. In this case, YouTube may perform profiling for personalization or advertising purposes. This processing is external to our site and is subject to Google’s terms of use.
Revocation:
You can adjust your preferences regarding the loading of YouTube videos at any time via our cookie management tool. To do so, visit the “Cookies” page accessible from the footer of the website, then click on “Cookie Settings” to enable or disable this service.
Remarketing
Purpose and legal basis: We place ads with a remarketing option at irregular intervals. For this purpose, the user’s interactions on our website, such as the products and services they are interested in, are analyzed. This enables us to present interest-based advertisements to users of our website on other websites in the Google Display Network, such as Google Search or YouTube. For this purpose, we use a so-called tracking pixel on our website, which collects the data and sends it to the Google ad server to display personalized ads. Newsletter and e-Blasts
Purpose and legal basis: VMI sends information mailings to customers or interested parties at regular intervals to inform them about innovations, offers and events. In addition, we reserve the right to send trade fair invitations, newsletters and advertising information by email to both existing and potential customers (see Lead data section) in accordance with Art. 6 para. 1 lit. f GDPR on the basis of our legitimate interest. An objection is possible at any time (see section Revocation below).
Recipient and third country transfer: VMI’s mailings are sent via the IROQUOIS email platform – 65 Rue du Bourbonnais, 69009 LYON, France. The data collected may be transferred to our national organizations in third countries to allow the dispatch of emails requested from those countries. Standard contractual clauses are in place to ensure data protection.
As part of a smart campaign, mailings may also be sent via the platform Plezi SAS, a company headquartered at 444 Rue Paradis, 13008 Marseille, registered under the SIREN number 814 540 373 with the Marseille Trade and Companies Register, which provides B2B customer prospecting services as a Software-as-a-Service (SaaS) solution (“Plezi”). Standard contractual clauses are in place as a data protection guarantee.
Coperion FHN sends emails via the Dotdigital email platform. As the software operator, Dotdigital is a trading name of dotdigital EMEA Limited (company number: 03762341) whose registered office is at No. 1 London Bridge, London, SE1 9BG and is also the recipient of the data. The data collected may be transferred to our country organizations in third countries to enable the mailings controlled from there to be sent. Standard contractual clauses are in place as a data protection guarantee.
Coperion also sends emails via the Inxmail email platform. As the software operator, Inxmail GmbH, Wentzigerstr. 17, 79106 Freiburg, Germany, is also the recipient of the data. The data collected may be transferred to our country organizations in third countries to enable the mailings controlled from there to be sent. Standard contractual clauses are in place as a data protection guarantee.
Storage period: Your data will be processed for the sending of mailings until you unsubscribe from our mailings. Data stored by us for other purposes, such as e-mail addresses for the member area, remain unaffected by this.
Profiling: We only use anonymized data to determine the open rates or click rates of our mailings. At no time is this data evaluated on a personal basis.
Revocation: You can object to receiving advertising e-mails at any time, for example via the “unsubscribe” link in every mailing. Please note that by unsubscribing from a VMI e-blast, your unsubscription will only apply to communications sent by VMI. You may continue to receive communications from other entities within the group, such as Coperion or its affiliated companies if you are subscribed, unless explicitly stated otherwise in the unsubscription form.
Data exchange within the Coperion organization
Purpose and legal basis: Since the acquisition of the brands Baker Perkins, Bakon,Diosna, Gabler Engineering, Kemutec, Peerless, Raymond Bartlett Snow, Shaffer, Shick Esteve, Unifiller Systems, and VMI as well as Herbold Meckesheim, Coperion has endeavored to create a uniform database. For the purpose of data consolidation and harmonization of our internal processes, different personal data (including customer and supplier contact data) is exchanged throughout the organization.
As a consequence of our gradual merging of sales and marketing activities and on the basis of our legitimate interest pursuant to Art. 6 para. 1 lit. f GDPR, customers of the above-mentioned companies receive newsletters or other promotional emails from Coperion, among other things. Recipients and third country transfer: The above-mentioned companies belong to Coperion, but are currently separate legal entities. A data processing agreement has been concluded between all companies belonging to Coperion in accordance with applicable EU law. Since Coperion and the acquired companies operate worldwide, the data may also be shared with our foreign locations in third countries.
Revocation: You can object to the processing of your data by sending an informal email to communication@vmi.fr.You also have the option of unsubscribing from advertising emails at any time via the unsubscribe link in our mailings. (see paragraph newsletter and advertising e-mails).
Webinars
Purpose and legal basis: VMI and Coperion offer free customer webinars that are conducted using the GoToWebinar software from the provider GoTo Technologies, based in the USA. The legal basis for the processing of the aforementioned data for the implementation of webinars is Art. 6 para. 1 lit. b) GDPR, as the data processing is carried out within the framework of the contractual relationship for the free provision of webinars. The provision of the aforementioned personal data via the webinar registration forms via GoToWebinar is voluntary and is not required by law or contract. In addition, we use this data on the basis of our legitimate interests pursuant to Art. 6 para. 1 lit. f) EU-GDPR in order to contact you by e-mail after the webinar to answer your questions or clarify your needs.
Recipients and third country transfer: The data, including the questions asked in the webinar, will be provided to the responsible sales employees. In addition, the data transmitted to us is recorded in a lead management system that is maintained by our country organization in the USA. The software provider GoTo Technologies, which operates the GoToWebinar software, is also a recipient of the data. It processes the data on our behalf. An order processing contract has been concluded with GoTo Technologies in accordance with Art. 28 GDPR. Depending on the group of webinar participants, the data collected may be transferred to sales staff based at our country organizations outside the EU. The above-mentioned lead management system is maintained in the USA. Standard contractual clauses are available as a data protection guarantee.
Storage period: Data collected from webinars, including participant information, may be uploaded to our lead management tool (CRM platform) for the purpose of follow-up communication, marketing, and customer relationship management. This data will be securely stored and conserved in accordance with our data protection practices. However, individuals may request the deletion of their data at any time by contacting us directly at communication@vmi.fr. Upon receiving such a request, we will promptly remove the data from our systems
Profiling: During the webinar, the software automatically records various attention factors of the participants in order to calculate an individual interest rate. This data is neither systematically evaluated by us nor used for profiling purposes.
Revocation: You can revoke your consent to the processing of your personal data by VMI at any time by sending an e-mail tocommunication@vmi.fr.
Lead data (e.g. via campaigns)
Purpose and legal basis: We regularly work with external international publishers via whose platforms Coperion and its brands offer webinars, newsletters or specialist articles. To enable interested parties to take advantage of these offers and content, the publisher often collects various data. This usually includes the name, company and contact details of the persons and is made available to Coperion and its brands as lead data following the campaign. The provision of the aforementioned personal data is voluntary and is not required by law or contract. The privacy policy of the respective publisher applies. Coperion records the data transmitted to us in a lead management system on the basis of Art. 6 para. 1 lit. b) GDPR. In addition, we use this data on the basis of our legitimate interests in accordance with Art. 6 para. 1 lit. f) GDPR, e.g. to inform you by e-mail about news, trade fairs or events (see section inFocus newsletter and advertising e-mails).
Recipients and third country transfer: The personal data you provide will be collected by the respective platform (e.g. publisher) and provided to Coperion and its brands in the form of lead data as part of the campaign. Coperion sales employees or partners, including sales intermediaries (sales representatives),and employees from its affiliated brands have access to this data via our lead management system. The data collected is generally transferred to our country organization in the USA and entered into our lead management system. As Coperion operates in an international environment, it is possible that the sales employees or partners have access to the lead data relevant to them and are based in a country outside the EU. Standard contractual clauses are available as a data protection guarantee.
Storage period: Data collected from campaigns, including participant information, may be uploaded to our lead management tool (CRM platform) for the purpose of follow-up communication, marketing, and customer relationship management. This data will be securely stored and conserved in accordance with our data protection practices. However, individuals may request the deletion of their data at any time by contacting us directly at contact@vmi.fr. Upon receiving such a request, we will promptly remove the data from our systems
Revocation: The revocation must be made via the platform whose offers you have used and via which you have provided your data. You can also object to the further processing of your data by sending an email to communication@vmi.fr.
Trade Show Leads
Purpose and legal basis: Coperion and its affiliated brands regularly participates in international trade fairs, conferences and events to provide information about our technologies and innovations. At the same time, we give interested parties the opportunity to talk to our experts in person. In order to facilitate the exchange and to send you the requested information material afterwards, we collect your personal data on your business card on the basis of your consent in accordance with Art. 6 para. 1 lit. b) GDPR. The provision of the aforementioned personal data is voluntary and is not required by law or contract. Depending on the event, these are entered by our stand personnel in a mobile lead app and subsequently entered into our lead management system on the basis of Art. 6 para. 1 lit. b) GDPR.
Recipients and third country transfer: The data is provided to the responsible sales employees. As Coperion and its affiliated brands operate in an international environment, it is possible that the sales employees or partners have access to the lead data relevant to them and are based in a country outside the EU. In addition, the data transmitted to us is recorded in the above-mentioned CRM system which is maintained by our country organization in the USA. Standard contractual clauses are in place as a data protection guarantee. In addition, Salesforce, based in San Francisco, California, USA, is the recipient of this data as the operator of the CRM system.
Storage duration: The data is deleted from the lead app at the end of the respective event. The data is also stored in our lead management system until revocation is requested.
Profiling: Classifications are made on the basis of the data (prospective customer, existing customer, area of interest) and sales campaigns are notified (e.g. sending information material, arranging follow-up appointments).
Revocation: Consent to the processing of your personal data is given when you hand over your business card. You can revoke this at any time by sending an informal email to communication@vmi.fr.

Recipients and transfer to third countries: By submitting your data, you consent to it being transferred to the USA and other countries. The data collected, in particular from our contact form, is entered into our lead management system in the USA. As Coperion operates in an international environment, it is possible that sales employees or partners based in a country outside the EU may have access to the lead data relevant to them. In addition, we use technical service providers for the operation and maintenance of our website who act as our processors.
Storage period: After the end of the respective contract between us and you, we check after three years whether we still need your data and whether there are any statutory retention obligations that prevent deletion. All service providers are contractually obliged to treat your data confidentially.
Profiling: Your data will only be used to process your inquiries. No further analysis of the data in the sense of profiling takes place.

E-Service
Purpose and legal basis: VMI customers have the opportunity to find out the current status of their spare parts requests and orders via the E-Service online platform. This requires registration on the E-Service portal. We only use the data entered for the purpose of using the platform. The mandatory information requested during registration must be provided in full. Otherwise we will reject the registration.
In the event of important changes, for example to the scope of the offer or technically necessary changes, we will use the e-mail address provided during registration to inform you in this way. The data entered during registration is processed on the basis of your consent in accordance with Art. 6 (1) (a).

Customer surveys
Purpose and legal basis: VMI conducts customer surveys at irregular intervals in order to continuously improve our services. Participation in the surveys is always voluntary and the processing of the data entered is based on your consent (Art. 6 para. 1 lit. a GDPR). Surveys may be sent following a support ticket, purchase, or other customer interaction.
Recipients and transfer to third countries: We use GetFeedback, an external survey platform operated by Momentive Inc. (formerly SurveyMonkey), to administer and evaluate these surveys. GetFeedback may process data in accordance with its own privacy policies and under contractual agreements with us. Depending on the location of the customer, collected data may be transferred to our affiliated organizations outside the EU. Responses may be linked to our internal CRM platform to associate feedback with relevant transactions or interactions. This helps us better understand and respond to customer needs, while maintaining secure data handling practices.
Storage period: Survey data is retained only as long as necessary for analysis and follow-up action.
Profiling: Your responses may be personally identifiable and linked to your customer profile in our CRM.
Revocation: You may revoke your consent or unsubscribe from receiving further surveys at any time. To do so, send an informal email to communication@vmi.fr. or use the unsubscribe link included in the survey email.
Social media presence
Purpose and legal basis: We also offer you the opportunity to stay in contact with us via our social media pages (YouTube, LinkedIn, Instagram as well as WeChat and Tencent as part of our Chinese website) on the basis of your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR. These social media services may themselves collect personal data, e.g. via your profile created there. Please note that despite the joint responsibility with the platforms, we have no influence on the data processing operations of the respective platform, which are carried out by the platform for its own purposes. The provision of your personal data is voluntary.
Recipients and transfer to third countries: Recipients are technical service providers and those who keep our company accounts up to date. All service providers are contractually obliged to treat your data confidentially. Processing also takes place outside the EU, namely in the USA and China. There are guarantees in the form of concluded standard contractual clauses.
Storage period: The data collected directly by us via the company profile will be deleted from our systems as soon as the purpose for storing it no longer applies. We have no influence on the storage period of your data that is stored by the operators of the above-mentioned platforms for their own purposes. Application Process
Purpose and legal basis: With the sending of your documents by e-mail or mail you declare that you agree to your data being stored electronically. We ensure that your data will be treated confidentially, used exclusively for the application procedure and not used in any other way or for any other purpose.
We process your personal data in compliance with the provisions of the EU Data Protection Ordinance (GDPR), the Federal Data Protection Act (BDSG) and all other relevant laws (e.g. BetrVG, AGG etc.).
The primary purpose of data processing is to establish the employment relationship. The primary legal basis for this is Art. 6 Section 1 b) GDPR in conjunction with Paragraph 26 Section 1 BDSG. In addition, collective agreements and, if applicable, your separate consents pursuant to Art. 6 Section 1 a), 7 GDPR in conjunction with Paragraph 26 Section 2 BDSG may be regarded as consent as defined in data protection legislation.
The provision of personal data is neither legally nor contractually required. However, it is not possible to process the application without this information.
Recipients and transfer to third countries: Within our company, only persons and departments (e.g. divisions, works councils, representatives for the severely disabled) receive your personal data if they require it to fulfil our contractual and legal obligations.

Your personal data is processed by our service providers based outside the EU and, if necessary, transferred to our country organizations in third countries. Standard contractual clauses are available as a data protection guarantee.
Storage period: If your application is rejected by us, it will be deleted six months after notification of the decision. If an employment relationship is established, the application documents will be stored for at least the period of employment.

Rights of Data Subjects
Every data subject has the right of access under Art. 15 GDPR, the right to rectification under Art. 16 GDPR, the right to erasure under Art. 17 GDPR, the right to restriction of processing under Art. 18 GDPR, the right to object under Art. 21 GDPR and the right to data portability under Art. 20 GDPR.
The restrictions under Sections 34 and 35 BDSG apply to the right to information and the right to erasure.
